We built the practice its own staff workspace, on its own domain, with 18 logins each locked to a role: front desk, hygiene, dentists, assistants, and the owner.
Staff ask about the patient in front of them in plain English and the answer comes from the live chart. No digging through screens mid appointment.

The daily rituals run themselves now
Every morning, every upcoming patient is checked against the x-ray rules. Every new booking is checked against what their insurance actually covers. A live money-owed view catches what was never billed.
Each of these used to mean opening a patient, reading the history, doing the mental math, and writing down the result, thirty plus times a day. Now they just happen, and staff only see the ones that need action.
They own their phone system now
Calls and texting on the practice number from any computer. Press 1 menus, business hours routing, transcriptions, all connected to their own patient database.
It is the kind of system providers rent out for $2,000 a month. We built it in house instead, customized to exactly how they work, and they own it.
The one day iPhone app
The team photographed patients on the office phone, then emailed every photo through Gmail and sorted the downloads into folders by hand. Hours of fiddly work, every single week.
We built them a custom iPhone app in less than a day. One job only: photograph the patient, tap sync, and the photos land organized on the office computer over the practice wifi. No cloud, no email, no subscription.
It is a single use app solving a single problem, and it saves almost five hours of staff time per week, in perpetuity. Custom software this small was never worth building before. Now it is.

The 85 page audit
Before we were hired, AI read every page of their website in one pass and surfaced what hides in plain sight: duplicate headers, placeholder text, a contact page showing an address from another city, 38 dead pages, and no tracking installed at all.
Nobody had noticed, because noticing meant combing through the website page by page. Nobody has time for that. Once AI is connected, an audit like this takes minutes instead of days.
Six years of ad history, read in minutes
Roughly a third of the practice’s all-time advertising budget had gone to a single keyword that never produced one patient. AI found it in minutes. It spots the trends humans miss when the spreadsheet is too big to eyeball.
The ad accounts are now connected directly to AI: it reads live performance, suggests changes, and when permitted makes them itself. Two ads ran head to head, the loser was switched off after three days, and the budget moved to the winner.
The groomer’s numbers
We connected their search data and their Meta ads account directly to AI. It reads the numbers, finds what works, and moves the budget.
The result: the number one local spot on Google for their service, and ten times return on ad spend.
No lead waits until morning
Inquiries for the practice’s highest value service get an automatic reply matched to the patient’s situation within about two minutes, around the clock, evenings and weekends included.
The bigger shift: every inquiry now enters a follow-up funnel instead of sitting in an inbox hoping someone replies. Every form on the website lands in one tracked lead sheet the front desk works from.
